Prepare a Product Catalog Form for Customer Quote Requests

Prepare a small form for customer quote requests. Select the necessary product information and give staff a clear next step. Do a test before release. Use the worksheet examples to prepare your form. Keep supplier purchase requests in a different form.
Select the Customer Task
In Dynamics 365 Sales, save the quote before adding its products.
Use this guide to compare your existing sales software, a form made with HTML, and a staff worksheet. The named products are examples of different tasks. Choose the smallest option that staff can use. Start with one product group and a customer quote request.
Select one person to examine each quote request. Give that person the product information and the customer contact information. Make sure that staff have sufficient time to prepare the quote.

Start with a Small Product List
The web.dev example uses a filter interface to make the number of alternatives smaller.
Prepare a small product list. Select one product group. For example, an equipment quote request can have fields for quantity, model, and dimensions. These fields are examples. They are not customer requests for a new form.
Examine a filter interface with the web team if the list is not easy to read. Do a test of product selection. Remove the selection and select a different product. Make sure that the product selection is clear.
Keep the small list if the filter interface is not easy to use. Add more alternatives only if they are necessary for the task.

Give Each Field a Clear Label
An HTML label helps assistive technology identify the correct form control.
W3C shows that a mobile number field can display a keyboard with numbers.
Tell the web team to connect each label to its form field. Use a clear field name, for example, Quantity. Give the unit of measure with the field. Keep the label on the screen after the customer records information.
Do a test of all fields with a keyboard and a screen reader. Make sure that the field name and unit of measure are clear. Do not use color as the only method to identify a necessary field.

Give Short Form Instructions
W3C recommends form instructions that a screen reader can read.
Give short instructions before the form. Identify the necessary fields with words. Give an example date with the date field. Use the same date format in the instructions and the example. Select a customer contact field that staff can use.
Do a test with one necessary field empty. Examine the error message. Make sure that it gives the field name and the next step. Record the missing information and send the form again. Make sure that the customer can complete the task.
Use Different Forms for Quotes and Payment
The Payment Request API can include a list of products in a purchase.
In Dynamics 365 Sales, you can send a quote as a PDF by email.
A quote request is a task to get a price. A payment is a different task. Keep payment information out of the quote request form unless it is necessary. Use the company payment software after the customer accepts the quote.
Select a method to send the quote to the customer. Record the date and the next step in the worksheet. Make sure that the person for that step has access to the record.
Examine the Alternative and the Limits
In the Microsoft RFQ example, accepting a bid creates a purchase order.
The Dynamics 365 procurement guide tells you to select the date for receipt of the products.
A purchase order is a document that confirms an offer to buy products. This supplier task differs from a customer quote request. Select the customer date field for your task. Keep supplier purchase records separate from customer quote requests.
A staff worksheet may take less work to prepare than a new form. This is a planning assumption. Compare staff access, duplicate records, and the time to handle each request. Use the existing tool if it meets the task. These product examples do not set Canadian privacy, procurement, or accessibility requirements. Apply your company procedures and confirm the duties that apply to your use.
Do the Form Test
The web.dev guide describes a strategy that requests pages from a stored copy and the network in parallel.
A cache is a stored copy of page data. Ask the web team to compare loading from that copy with a fresh network request. Test a network failure and a repeated quote request. Make sure that staff get one request and can read all its information.
After you send the form, examine the staff record. Make sure that staff have the quote request. Compare its information with the test. Correct missing information before customers use the form. Keep customer records in the company system with access controls.
Do the form test on a small screen and with a keyboard. Record the results in the worksheet. Do the test again after a change. Customers can use the form only when staff can complete the quote task.
